Co-Leaders Notes December 4th Recreation Committee Meeting Notes Meeting Attendants were recorded by Terra Hill on the Horizons Form Meeting Objective: To speak with local recreation program coordinators/coaches to determine what key functions they would like a Volunteer Recreation Committee to perform. Solicit comments/concerns of rec. coordinators. Discussion: We began meeting by discussing what is required of the coordinators – liability insurance, coordinating gym/field time and determine facility use fees, securing umpires/referees, setting up concessions, accepting registrations, handling the budget, buying uniforms, advertising the program, providing scholarships on an as needed basis. A key concern of the attendees revolved around budgets. Coaches did not want to turn over their hard earned funds to a general program fund to then be distributed among other groups. It was decided that the monies previously raised by individual groups would not be lumped together but would be kept separate along with a general recreation fund. In order to build this general fund, programs supported by the recreation committee would need to increase their fees a bit and have this money go to the general fund. Fundraising, grants, and profits from special event would also help increase this fund. Another big concern was that if the initial Recreation Committee is staffed on a volunteer basis until the funding for a paid Recreation Coordinator with the City can be acquired, how do we get motivated individuals who will care enough about the programs to follow-through on their responsibilities? It was decided that initially, the volunteer Recreation Committee should not look to take over an entire program (i.e. little league baseball) but should serve in a supporting role to assist the individual program coordinators. The role of the committee would therefore be focused on the following areas: *Provide a central location for activity registration *Secure advertising *Central location for information via a website listing names and contact numbers of event coordinators, sign-up periods, games times, upcoming events, etc. This website could also provide general information regarding how groups secure gym time, contact information for referees/umpires, a calendar of events, etc. In time, this website could provide a wealth of website links for local/regional events such as fun runs, triathlons, tournaments, etc. *Possibly provide an umbrella liability policy for Grangeville rec programs *Work with Horizons grant-writer to secure money for a paid City Recreation Coordinator *Sponsor special events that would support recreation and wellness in the city of Grangeville. Examples – basketball/softball/volleyball tournaments, bicycle safety clinics, fun runs, etc. Some of these events could help raise money for the Recreation Committee general fund. Lead Committee positions were then identified: Public Relations – secure advertising and program/event coverage via newspapers, radio, etc; serve as a liaison with the school in order to help with securing gym-time; answer questions from local coaches about what the Recreation Committee can do for them; get pictures/stories regarding program/event results for website posting. Treasurer – manage budgets and general fund Website Coordinator – post registration and upcoming event information; maintain a community calendar, post reference information, and post stories/photographs regarding program results/event results and money raised, etc. Registration Coordinator – makes forms available, gathers and deposits money into accounts regularly, organize lists for each program with participant information by age/group, forward scholarship requests for consideration Fundraising Lead – work with Horizons grant writer, organize special events We then identified what needed to happen next – individuals needed to be selected for the Lead Committee positions. In order to do this, all the folks that are interested in furthering the recreational opportunities in Grangeville need to be brought to the table. A meeting date/time of 1/14/08 at 6:30 was selected. Terra Hill/Karen Ruklic would ask Kathy Wassmuth about securing US Bank conference room on this day. The following folks should be notified of the meeting along with anyone else interested. We also recognized that Kathy Wassmuth had the names of other individuals that should be added to this list. Do List prior to the January 14 th meeting: - contact interested individuals -contact Todd Marek with Northwest Insurance to inquire about an umbrella insurance policy (Karen Ruklic will do this) -ask the Horizons committee about small towns that were successful in similar endeavors so that we could tap their knowledge

City Council- will discuss in future after committee is formed and discuss central location, phone, flaw for registration drop offs and money. Meeting adjourned at 8:30p.m Work Plan
